How much does a custom AI agent cost?
It depends on complexity. A pilot agent on a well-defined use case (e.g. email classification + automatic replies) starts from around €3,000-5,000. More complex agents integrating ERP, CRM and inventory systems can reach €8,000-15,000. On top of that comes the monthly cost of the LLM APIs (typically €50-300/month per agent in an SME). Do my business data end up feeding OpenAI?
No. For sensitive data I use the Enterprise versions of Claude and OpenAI with zero-retention policies: your prompts are not used to train models and are deleted right after processing. For highly confidential cases (healthcare, legal, financial) I can integrate on-premise models (Llama, Mistral) running on your servers. Privacy is negotiated case by case.
What happens if the agent makes a mistake?
By design, the agent doesn’t act autonomously on critical operations: it asks for human confirmation above thresholds defined with you. For the low-risk operations it performs on its own, every action is logged and reversible. On top of that, I build monitoring dashboards: every morning you see what it did, where it had doubts, where it asked for confirmation. Oversight stays yours, always.
How long until it’s up and running?
A well-scoped pilot agent is live in 4-6 weeks: 1 week of workshop and mapping, 2-3 of development, 1-2 of staging tests. For more complex agents with dated ERP integrations or undocumented workflows, it can take 8-12 weeks. The longest part is almost always the dialogue with your legacy systems, not building the intelligence itself.
Do I have to replace my employees?
No, and I advise against it. An AI agent works best when it sits alongside your staff and takes the repetitive work off their hands (filling out forms, reading standard emails, generating reports) to free up time for high-value work (customer relationships, complex decisions, sales). Clients who put the agent in place of people fail within 6 months: edge cases send the system into a tailspin.
Which process should I start with?
Great starting candidates: email classification and routing, standard quote generation, customer FAQs on established products, daily summary reports, first-pass CV screening.
